Using CGSpace

This is a guide to using all aspects of the CGIAR Consortial Repository, CGSpace.

How do I review and publish records?

CGSpace submissions require approval by people designated for that role by the administrator. The reviewer must claim the item, review/edit the metadata and then indicate approval. 

First, go to MyDSpace in order to view the items available for your approval

 

Then use the dropdown "Your Submissions" to select "Workflow tasks". The selection "Your submissions" is for items you have personally submitted. 

Once you see the tasks in the workflow, you have the option to "Claim" an item or "View" it. Claiming is necessary before you can approve it. Click "Claim" and then further options become available. 

Three options are available for claimed items, "Approve", "Edit", and "Return to pool". If you select "Edit" you will be in the same item editor that you would have if you had just found an item and decided to edit. The "Approve" option is what you need to select in order to move and item through the upload process. Editing does not have an option to approve. Returning an item to the pool will reverse the claim, and allow other reviewers to claim it. Only one reviewer can claim at a time. 

How do I edit published records?

To edit a published record you must first log into CGSpace, then once logged in, you will see an edit button in item view of any item for which you have rights to edit. Click that button and the page that opens will allow you to edit the metadata, change the collection mapping, and update the attached files in the bitstream. 

To edit metadata, you can either add another element by clicking 'ADD' and then selecting the field from the dropdown, then entering the value into the box to the right, copy and paste the language value of en_US in the next box, and finally click the checkmark to confirm.

Clicking to edit a field allows you change the existing value, but the controlled vocabulary is not available here either. Click the checkmark to confirm here when finished with the field needing a change. 

To change the mapping, select 'mapper' in the tabs at the top, then either remove collections by selecting the box and clicking remove, or under the next section, search for the collection to add, and then select it.
