Using CGSpace

This is a guide to using all aspects of the CGIAR Consortial Repository, CGSpace.

How do I create records?

Log-in process: 

  • In the upper right, select "login" from the dropdown menu and enter your CGIAR credentials. Then select "MyDSpace" from the same menu. 

Begin to add an item

  • Use the "plus" link to start the process, then select the collection or community to which you have rights to contribute. 

 

Submission Guidelines

Title: Enter full title as it appears in the publication, include subtitle. Capitalize proper nouns and initial word, and the first word of any subsequent clause. 

Other titles: Enter any alternative titles for the item such as other languages, the field can be repeated.

Record Type: Use established values from controlled vocabulary  List available

Author: If a CGIAR author, enter according to standard for the author, "LastName, FirstName I."   

  • Author names from outside the CGIAR often appear in the controlled vocabulary, if the name is not listed, use the name as it appears in the publication

ORCiD: Enter identifiers for CGIAR authors, one per author. If identifier is missing from the list, enter a new one in the format: "FirstName LastName: 0000-0000-0000-1234" using the preferred name from the ORCiD profile page of the author

Author affiliations: add from controlled dropdown, and if the affiliation is not present, add it

Authorship type: Characterize the entire authorship based on author affiliations, use multiple selections if applicable.

  • Developing country institutes are those based in a developing country.

  • CGIAR Centers, regional development banks, UN agencies, and the World Bank are all considered a  "Not CGIAR international institute".

  • Universities and other research institutions in OECD countries are considered an "advanced research institute"

Sponsor: Full institution name(s) who sponsored the item, use multiple values if appropriate. Note: CGIAR Initiative, CGIAR Research Program or Platform funding is not identified in this field those all have dedicated fields. 

Edition: if applicable

Pagination: Enter the page range for an article or chapter ("p. 10-17") or the total pages ("120 p." ) 

Date of publication: Enter the date when the item was officially published or made public. For journal articles, this is the date the article was included in a volume/issue if known. If the issue date is not known, please use the online first date. Use format yyyy-mm-dd. 

Date available: Use this field for journal articles to record the date first available online. 

>>NOTE>> The date of publication is required, it is "dcterms.issued". 
The date available online is "dcterms.available". 
The "cg.date.accessioned" "dc.date.available" are system-generated date stamps. 

For journal articles a common scenario is for the date available and date of publication to be the same when the article first appears online, then some months later the date of publication may actually change when the volume/issue are assigned. PRMS uses the date first available online.

Publisher: Use for books and Journals. Enter according to standard.  

Full citation: Create from previous fields. Fill in for nearly every publication.  

  • Copy and paste author field, add "and" before the last name, delete the last semi-colon and add a period. Add publication year if applicable. Add Title…  

  • If a journal article, the rest of the citation is “Journal title vol(issue): page #'s. link.”  

  • If a series, the rest of the citation is “Series name number. Place: Publisher. Link.” 

Series Name: Name of series; if a journal, the journal title. Don’t put “The” in front of a series name.  

Series Number: Enter when available. For a journal, this will be volume and issue number (e.g., 118(2)). 

Abstract: ONLY ADD FOR OPEN ACCESS PUBLICATIONS. No externally-published abstract entry if Access Rights=Restricted. Enter abstract or executive summary text when available. The purpose of this field is to facilitate discovery within search results. If possible, find text summarizing the work and avoid lengthy backgrounds on subject or countries. The best summary can be found in the conclusion. If lengthy and categorized, add background and/or objective. 

Access Rights: Indicate the accessibility of the item. If the item is free to read this should be Open Access, regardless of copyright. If item is not free to read then it should be recorded as Restricted

Usage Rights: Indicate the usage rights of the item. For most item this will be a Creative Commons license. Look on the publisher's page or in the PDF itself if available. Choose "Other" if the item does not have a license or none is specified.

Grey literature: Indicate whether the item was formally published or not. In general, any output other than journal articles and books are grey literature.

Peer Reviewed:  Select from controlled vocabulary "Peer Review" or "internal Review".  A required field. Check the Journal Ranking spreadsheet or, if needed, research the specific journal on the web. Use PR only when specifically stated. 

Target Audience: Indicate the main audience for whom the item is produced. List available

ISBN: Numbers only (no '-'). For entire book only, not for chapters 

ISSN:  Enter the ISSN for the serial publication where this item appears, for example 1234-5678

External URL: Enter a full URL for the item, for example a website, blog post, Google Books URL. This may be repeated

Digital Object Identifier (DOI): Use only for DOI and add the full link "https://doi.org/10.1234/123456789"

URL for data file: A URL for any associated data file(s), in a repository for example

Language: Select the language of the main content of the item. If the language does not appear in the list, please select "Other". If the content does not really have a language (for example, if it is a dataset or an image) please leave this blank

CGIAR Initiatives: CGIAR Initiatives(s) associated with this item. Use this to show that an Initiative funded this item. List available

CGIAR Impact Platforms: Impact Platforms from the CGIAR 2022–24 Investment Prospectus. List available

CGIAR Action Areas: Impact Areas from the CGIAR 2022–24 Investment Prospectus. List available 

UN Sustainable Developments Goals (SDGs): UN Sustainable Development Goals associated with this item, for example: SDG 1 - No poverty, SDG 2 - Zero hunger. Use one field per SDG if there are more than one. List available

CGIAR Research Program and Platforms (2012-2021): Select any CRPs if associated with the item

Coverage

  • Coverage Country: Country/countries relating to data collection described in the information product. Countries should be in ISO 3166-1 format, with a few of exceptions for stylistic preference List available
  • Coverage Region: Region where data was collected or the focus of the research described in the information product. Regions are in UN M.49 format. Region is derived from the country, and does not indicate the activity covered the entire region. This value is mostly to facilitate search and discovery of CGIAR work in a region.  List available
  • Coverage Subregion: Province, state, or other type of sub-national administrative region where data was collected or the focus of the research described in the information product. These should ideally come from the ISO 3166-2 subdivisions list. List available 
  • River basin: Select the appropriate river basin List available

AGROVOC Keywords: The topic of the resource. Preferably using terms from AGROVOC (in any language). Terms should be entered in lower case.

Center-based terms: Controlled, with values from vocabulary.

Notes: Enter any other description or comments into this box. It it will not be visible in the user interface

Related Content fields, not repeatable

  • Related video: enter related video link
  • Related audio: Enter related audio link
  • Related photo: Enter related photo link, you cannot upload a photo through this field
  • Related reference: Enter related reference link, normally a URL to another item
  • Related citation: Enter related reference citation, full citation not URL

Species: Enter scientific name of organism, plant, animal, etc. if it is a main focus of the item, for example: Lablab purpureus, Bos Taurus, Oryza sativa, Theileria parva

Animal breed: Select animal breed from controlled vocabulary dropdown list, may be repeated
